What your school needs before getting started
Choose the staff member who will manage the main school account. Prepare your active student count, school details, teacher email addresses, class and subject lists, and the school’s grading and assessment rules. Accurate parent contact information matters: it determines who receives notices and can access a child’s records.
The school result-processing workflow
Register and activate the term
Create the school account and choose a capacity plan. Academora generates a school code for parent access. Complete the required subscription payment before setting up the active term.
Set up academics and staff roles
Add the academic session, term, classes, subjects, assessment components and grading rules. Assign class teachers and subject teachers. Invited staff set up their own accounts; the school account controls their assignments.
Register students and parent contacts
Class teachers add students in their assigned classes using admission numbers and names, together with parent or guardian contact information. A student passport photograph can be uploaded or captured using a supported device.
Enter assessment and examination scores
Subject teachers work with the classes and subjects assigned to them. The school’s configured assessment and grading rules guide result preparation.
Review, lock and approve
Class teachers review the entries and add attendance, observations and remarks. Saving the class review locks subject-teacher edits, and posting sends the results for leadership review. Assigned vice principals add their comments before final approval. Only authorised school leadership can unlock scores for corrections.
Publish and notify parents
After approval and publication, SMS and email notices are queued to registered parent contacts. The notice links to secure result access. Delivery status is tracked; a failed notice does not undo publication.
Term subscriptions: three payment options
Capacity plans start at up to 300 students for NGN 300,000 per term, followed by 500 students for NGN 500,000. Plans then increase in 500-student steps up to 5,000 students for NGN 5,000,000 per term. Choose a plan that covers your school’s active students.
Schools can pay the full term subscription, pay 40% upfront, or start with no upfront payment. Under the 40% option, the remaining 60% is recovered from the school’s e-token proceeds until the subscription balance is cleared. Proceeds after recovery go to the school’s configured settlement account. For the no-upfront option, 50% of each school-set e-token price repays the subscription and 50% goes to the school until the balance is cleared. Schools verify a settlement bank account during onboarding. The parent-paid 10% service fee remains separate from repayment. Any outstanding balance must be settled before activating the next term.
The school sets its e-token price. Parents pay that price plus the separate 10% Tomsphere service fee and applicable payment-processing charge. The service fee does not replace the subscription and is not deducted from the school’s declared token price. Revenue depends on actual purchases; subscription recovery reduces the school’s immediate settlement proceeds.
Keep academic decisions with the school
A subject teacher should not need access to every school record to enter a score. Role-based workspaces separate staff responsibilities, while leadership review controls what is published. The published report preserves the approved result rather than exposing an unfinished score sheet.
Parents see only records linked to their verified details. Student reports are private, not publicly searchable. Questions about a score, attendance record or remark should go to the school; platform support does not decide academic outcomes.
